The WRFU is officially opening the search for hosts for WRFU Club Seven’s Qualifying Tournaments for 2003.  The qualifying tournaments are used to determine the final field for the Western Seven’s Club Championships July 19, 2003 at a site TBD.

 

All clubs interested in hosting a qualifying tournament should contact the West 7’s Coordinator, David McPhail (see information below), to make application to host a qualifying event. 

 

The WRFU Event Host Responsibilities can be viewed at the WRFU web site (http://www.wrfu.org/HostResponsibilities.htm) in the Documents and Information section.  The criteria used to select the tournament hosts will include but not be limited to the following:

 

I.                     General Information:

 

a.                    Name of tournament, host organization, and three proposed dates (all qualifying events must be completed two weeks before the WRFU 7’s Finals – for 2003 not later than July 5th).

b.                   Proposed venue for the event, with information about pitch quality and venue accessibility.

c.                    Estimated number of all teams in attendance.

d.                   Arrangements for local accommodations and rates.

e.                    Verification of notification and arrangements with local union referees society.

f.                     Other information as necessary.

 

II.                   Host Responsibilities:

 

a.                    Acknowledgement that the Host has read and agreed to comply with the WRFU Event Host Responsibilities.

b.                   Host organization is responsible for all costs related to staging the tournament including referees and insurance for the event, as required by USA Rugby (go to www.usarugby.org).

c.                    All participating teams and players must be CIPP registered with both USA Rugby and the Western RFU.

d.                    All tournaments are to have a Championship Bracket.  This Bracket will consist of no less then Six Teams and no more than Ten teams.  No team(s) in the Championship Bracket shall have a Bye/Forfeit within the Bracket. If a Host has questions about this requirement, please contact the Program Coordinator.

e.                    The Host shall be responsible for collecting and verifying tournament rosters (12 man limits) for all qualifying teams.  Each team shall provide a photo I.D. to support each named player.  Teams cannot alter their 12-man roster after the first match of the day has begun.

f.                      Only ten players are eligible per match.

 

III.                 Minimum Bid:

 

a.                    There is a flat bid fee of $400.00 per qualifying event, payable to the WRFU.

b.                   There is a $25.00 per club surcharge for every MEN’s side entered (regardless of division or bracketing), that is tendered to the WRFU within fifteen business days of completion of the tournament.  (Note, the surcharge is used solely to fund the WRFU 7’s All-Star program and does not include Collegiate, U19 or Women’s sides)

c.                    The maximum amount charged for any qualifying event is $600.00.

d.                   The bid for hosting the Western Championship Tournament will be a flat fee of $500.00.

c.                    Each bid packet must be accompanied by a check for $250.00.  The remaining balance will be due within 15 business days of completion of the tournament.  Checks from unsuccessful bids will be returned promptly.

d.                   Please submit at least two contact names for the sponsoring organization, and include the title, mailing address, work, fax & home phone numbers and email for each contact named.

 

V.                  Disclaimer

 

a.                    By submission of this bid to host, it is understood and agreed that the Western Rugby Football Union assumes no liability for bodily injury or property damage in connection with any of the events and will be held harmless against all claims.
